100%

Problem

Folders are not a control system.

The biggest risk is not the document itself. It appears when the deadline, company context, and next task are scattered across different tools.

Before Amarant: documents are scattered

Files sit in folders, deadlines live in spreadsheets, and decisions are buried in messages. It is hard to quickly check who owns the case and what needs to happen next.

01
Documents in many foldersEmployee files and data must be found in different places.
02
Deadlines outside the processResidence and work dates are tracked outside the team’s daily workflow.
03
Tasks hidden in messagesResponsibility for next steps disappears in conversations and arrangements.
04
No complete case historyIt is not immediately clear who changed a status, added a comment, or closed a task.

After implementing Amarant: data is organized in one system

The employee card, documents, residence and work deadlines, tasks, comments, and change history are connected in one place. The team sees case status and next actions without searching through many tools.

Employee cardPersonal data, company context, and employment context are visible in one view.
DocumentsDecisions, contracts, and attachments are connected to the right case.
Residence and work deadlinesValidity dates are visible together with responsibility for action.
Tasks and remindersAgenda shows what needs to be done, when, and in what context.
Change historyComments, statuses, and decisions stay attached to the case.
Process

From document to full control of the legalization process.

Documents, deadlines, procedures, Agenda tasks, and reports work in one system so the team can see every case stage without manually watching many tools.

Document Legalization documents All documents needed for legalization are attached to the right employee card.
Control Deadlines and procedures The system organizes residence dates, work dates, and the next stages of legalization procedures.
Agenda Action Agenda Tasks, deadlines, procedures, comments, and responsibility are managed in one place.
Report Reports and control Reports show case status, overdue work, deadlines, and change history for the whole team.
Access model

Each role sees only what it should.

Access to data, tasks, and reports is controlled by context and role. The system separates agency scope, company scope, module scope, and specific permissions.

Agency administrator Manages the agency context, companies, users, and operational access.
Operational user Works with employee cards, documents, and tasks.
Agenda user Sees tasks, deadlines, comments, and statuses within the assigned scope.
Company access Data visibility is limited to companies assigned to the user.
Data protection officer Controlled access to action history, RODO requests, and exports.

FAQ

Frequently asked questions.

Does Amarant replace an HR and payroll system? +

No. Amarant is a system for managing the legalization process: employee cards, documents, residence and work deadlines, procedures, Agenda tasks, and reports. It can work alongside an HR and payroll system as a separate environment for legalization control.

Can I start working right away? +

Yes. After registration, you can create employee cards, add documents, control deadlines, and work with Agenda tasks right away. Roles and access restrictions can be refined gradually when the team needs more detailed control.

Is data stored in Poland / the EU? +

Yes. All data is stored on servers in the European Union. The system is compliant with RODO requirements, and a data processing agreement is a standard part of each contract.

Can I move data from Excel? +

Yes. You can gradually organize spreadsheet data and move it into employee cards. After that, documents, deadlines, tasks, and action history are managed in Amarant instead of scattered files.

How do compliance rules work? +

Rules are configurable scenarios that the system checks automatically, for example when a work permit deadline is approaching. They can be defined by document type, company, or globally.
